Stapling

For bulk documents where each page is scanned as a separate file, ProDocs’s stapling service can help combine individual pages into one logical document. We import the entire file set into our workflow and using the client’s custom rules define the boundaries (start and end) of the document and combine(“staple”) specific pages into one document. The end document format is 100% customizable to the client’s requirements.

Backplant Indexing

Our Back Plant indexing services include the indexing services but for archived or older documents. These typically go back to the 1800s and a lot of them are cursive and handwritten. With over 15 years of back plant indexing, our processes, people and proprietary technology enables us to offer very high-quality data from these older documents. We are proud to have been keying handwritten data for some clients for over a decade. References are available on request.

Annotation

Sometimes multiple documents are scanned into one image or PDF file. ProDocs can help you by separating these individual documents into separate files through our Annotation process.
We import your criteria for document separation into our workflow and using a combination of OCR technology and human intervention separate the single file into individual documents in the format of your choice.

Go-forward Indexing

In our indexing service offering, we index the documents as per the specification provided by the client. General information indexed includes but is not limited to:

  • Document Number
  • Recording Date,
  • Document Type,
  • Grantor – Grantee Names,
  • Legal property Description: Lot, Block, Subdivision
  • Amount
  • In some cases, addresses, etc.
